Terms & Conditions

  1. Terms & conditions relevant to all contracts between client & XLT Distribution Limited
  2. This contract shall be valid from the date of acceptance by the client until the last day of October of the current year of leaflet distribution services.
  3. XLT Distribution is responsible for the receipt of clients' leaflets at our premises. The storage of same until the end of the contract and for fulfilling the types of service as quoted and agreed between XLT Distribution & the client (up to the total quantities agreed) both by a vehicle delivery system, contract carrier & localised merchandiser. The client should make aware to leaflet handlers that deliveries to our premises will be handled by manual and/or mechanical means although no guarantee can be given as to which.
  4. XLT Distribution will commence leaflet distribution services in sufficient time to enable a full distribution to all possible outlets in time for the Easter Holiday of the current distribution season and then on the agreed geographical & outlet type basis until the last day of October of that same season. This is providing leaflet stocks are received by Friday 6th February 2015.
  5. XLT Distribution prices are based upon a standard leaflet size of a single A4 sheet folded to 1/3 A4, prices for other leaflet sizes are to be negotiated and confirmed on our quotation. XLT Distribution can give no assurances as to the eventual quantity usage of a client's leaflets and any discussions or estimations concerning this contract have only been given for helpful guidance.
  6. XLT Distribution is responsible within the contract period for providing clients with distribution lists for the different services agreed. As our rate card charges are based on a cost per call basis and by leaflet quantity there can be no adjustment to the contract charges should the client withdraw any number of leaflets for whatever purpose.
  7. XLT Distribution is responsible for providing a good quality display system for leaflets in outlets (unless already provided).
  8. XLT Distribution is responsible for maintaining a canvassing system with outlets to ensure further strengthening of relationships and to encourage the efficiency of the distribution system. Wherever possible signatures will be recorded to confirm deliveries.
  9. XLT Distribution reserves the right to contract with carriers to provide the agreed service in conjunction with themselves, particularly when distributing to geographical areas outside those indicated on the rate card and in return to contract to provide such services for the clients of others within the rate card region. But in such an instance XLT Distribution will be responsible for ensuring similar standards of efficiency.
  10. The Client is responsible for selecting types of service required and distribution patterns within those selections indicated on the published rate card before signing as client's acceptance of the contract.
  11. The Client is responsible for ensuring the delivery of leaflets to XLT Distribution premises in sufficient time & good order to enable XLT to carry out its duties. Failure to do so will result in disruption to the agreed distribution schedule. Collection of leaflets can be arranged at an agreed cost.
    1. The Client is responsible for any loss of or damage to leaflets whether in transit or storage.
    2. The Client is responsible for ensuring all boxes are clearly marked to identify the leaflet & box quantity.
  12. XLT Distribution reserves the right to alter, amend or postpone delivery schedules according to (1) the availability of outlets and their right to refuse one or more leaflets and (2) external factors such as weather, personnel or mechanical defect or such like.
  13. Standard payment terms apply for all contracts valued over £500, and invoices will be raised in 2 stages as follows and are payable by the 15th of the month following invoice date.
    • Stage 1 - On receipt of leaflets (or February 6th 2015) at our premises - (invoice February 6th and payable 27th February)
    • Stage 2 - Invoice May 29th and payable 15th June

Terms for contracts valued under £500 are invoiced and payable for the full contract value as per stage 1.

If paying by standing order, invoices will be sent monthly from February - August inclusive

Goods Inwards Requirements

Clients are advised to please read the following requirements for delivery of all stock. Some or even all of the information below may need to be passed on to printers, suppliers and delivery companies.

Requirements for pallets being delivered to XLT Distribution Ltd

  • All deliveries must be pre-booked with our warehouse - please see below.
  • We only accept large 100cm x 120cm (3'3" x 4') strong 4 way pallets (not euro pallets).
  • Pallets should not exceed 120cm in height.
  • All leaflets to be delivered in appropriately sized boxes weighing no more than 22 kilograms each.
  • Brochures must be bundled into equal quantities then boxed and stacked on a pallet with equal amounts on each level.
  • Each box must be full, to reduce the chance of damage to goods.
  • Each box must be clearly labelled with the title or name of the stock item and quantity per box.
  • Pallet cards must be attached to every pallet containing the following information on all four sides.
    1. Your company name
    2. Title of publication or name of stock item
    3. No of boxes / packs
    4. Quantity per box / pack
    5. Total on pallet
  • Each pallet must be shrink wrapped securely for transport, to ensure the brochures are received in good condition.
  • All pallets must be of equal quantity except for the last pallet (end of print run).
  • All deliveries must have the correct 'consignment note' and for split consignments, quantities must be stated for each delivery.
  • Pallets that are received either damaged or not to the specified requirements, will be refused or a charge of £20.00 per pallet will be incurred to reassemble the pallet.

Requirements for boxes or packages being delivered to XLT Distribution Ltd

All items must be clearly labelled as follows:

  1. Your company name.
  2. All boxes must be labelled with the title of the publication or name of stock item.
  3. Quantity per box must be stated.
  4. Campaign title for which the publication is to be used (if appropriate).

Booking your delivery

  • All deliveries must be booked by telephone, stating the title or name and quantities being delivered. A time and date will be agreed.
  • Deliveries will only be accepted between 9am - 4pm Monday to Friday.
  • Due to our ongoing commitment to Health & Safety we must make you aware that our working yard "Goods In & Out" areas are also pedestrian zones.
  • As we cannot expect lorry drivers to wait while your consignment is checked and quantified, all consignment notes will be signed by a member of XLT staff and marked as unchecked. In the instance where there is a shortfall in stock volumes, or concerns over stock condition, we will inform you as soon as possible.
  • All goods will be held for 2 working days before being released for processing (subject to individual contractual agreement) for quality control checks and procedures.
